Who we are

Proproom is a trading name of Stillroom Creative Limited, company number 16956533, registered office 9 Milk Street, Deritend, England, B5 5TR. We are the controller of the personal data described here. Write to info@stillroomcreative.com about anything on this page.

What you send us

If you email us or use the form on this site, we keep your message, your name, your contact details and anything you attach, so that we can answer and, if you ask us to, quote and deliver the work. We keep enquiry correspondence for as long as the enquiry or project is live and for six years after, because that is how long tax and contract records have to be kept.

The studio

If you use the studio on this site, we receive the description you type, the note on where it will go and how many if you add one, and your photograph if you add one. Please send a photograph of the object, a sketch or the place it is for, not one that shows people. Before anything is sent, Cloudflare Turnstile checks that a person is at the page by looking at technical details of your browser and connection, and Cloudflare also uses those details, under its own Turnstile privacy notice, to improve the check. To keep to one design a day, your browser holds a random device number, and we record a coded form of that number and of your network address, used only to apply the allowance, together with the time and the country the request came from. We use all of this only to make the pictures and any model, to check that the studio is used as intended, and to look at the design with you if you get in touch. We rely on your request for the design and on our legitimate interest in keeping the studio fair. To make the design you asked for, the description, the note and the photograph, with its location and camera details removed, are processed by our service providers, who may work outside the UK. Nothing else about you goes to them.

How long a design is kept

The studio's files and records are stored by Cloudflare in Western Europe, and a person may review each description and its pictures in our own records. The pictures and any model open for anyone who has the link to them, so share it only with people you want to see the design. The site never shows your photograph or your description to anyone else. Your photograph is kept until you ask us to delete it. The description, the pictures, any model and the record of the request are kept until you ask us to delete them, so that we can look at the design with you if you get in touch. To have a design deleted, write to info@stillroomcreative.com with its link, or with the day you made it and what you described.

The front desk

The desk in the corner of this site is Hal, an automated assistant run by Stillroom. If you type or speak to him, what you say is sent to our front-desk service so he can answer, and it may be kept so that we can follow up your enquiry. Do not tell him anything you would not put in an email.

Cookies and analytics

Apart from the studio check below, this site sets no cookie until you choose. If you press Allow, Google Analytics loads and sets cookies to count visits and see which pages get read. Nothing is used for advertising. Press No thanks and it never loads. You can change your mind from the Cookie choice link in the footer. Whatever you choose, Cloudflare counts page visits for us without cookies and without storing anything in your browser. The studio works differently, and only when you use it. When you start a brief, the Cloudflare Turnstile check loads from Cloudflare and may use cookies or storage in your browser to tell people from automated traffic. When you send a brief, the studio keeps a random device number, and the reference to your latest design with its description, in your browser, so that it can apply the one a day allowance and show your design again if you reload the page. Both are needed for the studio to work, and neither is used for advertising.

Where it lives

The site is served by Cloudflare. Email and our own records are held on Google Workspace. Both may process data outside the UK under the safeguards UK law requires.

Your rights

You can ask to see, correct or delete what we hold about you, object to how we use it, or ask us to stop. Write to info@stillroomcreative.com. If you are unhappy with the answer you can complain to the Information Commissioner's Office at ico.org.uk.
